Small multifamily is the segment that asks the most basic version of the maintenance question. A manager with 20 to 30 units around Boston wants to know what to do about emergency calls after hours. A manager with just over 100 units wants a reliable system for maintenance calls, emails, and texts that will still work at 300. Neither has a maintenance staff. Both are paying for a property management system that already has a work-order screen. Five of the eight vendors in our [maintenance and vendor network category](/property-management-software/maintenance-vendor-network-software/) tag themselves for this segment, and the first thing to decide is whether you need any of them yet.

## What small multifamily managers need

The threshold question is door count. The research pattern is consistent. Under about 150 doors, managers stay on the native PMS module or add a call center. Between 150 and 500 they start evaluating coordination software. If you are at 60 units, the honest answer is that a lease clause defining an emergency, a good voicemail tree, and a short bench of vendors may do more than any subscription.

The second need is the phone. Small portfolios generate few true emergencies but every one lands on the owner-operator’s cell. After-hours burnout is the first pain point in the research and it is the reason small managers buy anything at all in this category.

The third is the PMS. Small multifamily managers in the research run AppFolio, Buildium, Rent Manager, and Rentvine. AppFolio and Buildium each have their own maintenance workflow, and Buildium has a contact center product. Whatever you add has to be measured against those, since they are already paid for.

## How the fit differs

The table above lists the five. Here is what each one is for at this size.

It is the smallest change you can make. Residents call, a person answers, the request lands in the system you already use. For the 30-unit manager whose problem is the after-hours phone, this is where to start.

[Latchel](/vendors/latchel/) is the fuller outsourced desk, 24/7 coordination with AI triage, dispatching to your vendors, integrated with Yardi, AppFolio, Buildium, Rent Manager, Rentvine, and Propertyware. Our research notes place its core customer at 500 doors and up, so at 100 units ask directly whether they take portfolios your size and what the minimum is. [Property Meld](/vendors/property-meld/) is coordination software for your own vendors, $1.60 to $2.00 per unit per month with a $160 minimum. At 100 units the minimum is what you pay. It integrates with AppFolio, Buildium, Rent Manager, Propertyware, Yardi, and Rentvine. It makes sense once someone on your team is spending real hours on coordination and you want the workflow, the vendor communication, and the tracking in one place. [Vendoroo](/vendors/vendoroo/) is an AI coordinator covering triage through invoice review, integrated with Rent Manager, AppFolio, Rentvine, and Yardi. For a small manager with no coordinator and no plan to hire one, it is the software-only alternative to Latchel. [Lula](/vendors/lula/) is the vendor network, 9,000 or more pros across 50 or more metros, no subscription, optional coordination desk, integrated with AppFolio, Rent Manager, and Rentvine. For a small manager the no-subscription model is the attraction. You pay when there is a job. Ask what the job margin is and whether the network is actually deep in your metro. ## Questions to ask

Ask about minimums before anything else. A $160 floor is trivial at 500 doors and a real line item at 40. Ask every vendor whether they have a door-count minimum and what the price is at your actual count, not at the count you hope to reach.

Ask what counts as an emergency and who decides. False emergencies are a named pain point. A call center that dispatches a plumber for a slow drain at midnight costs you the after-hours rate for nothing. Ask to see the triage script or the AI’s decision rules, and ask whether you can edit them.

Ask about the integration in your own account. A listing is a claim. A work order moving from resident to paid invoice in your system during the demo is proof.

Ask about the contract. At this size you may double or halve in a year. Month-to-month matters more here than anywhere else in the category.

## What the Index shows

The 2026-09 edition has one ChatGPT run for this category, captured through the OpenAI API on 3 September 2026 before ChatGPT capture moved to the app. On a prompt about a 300-door company, ChatGPT named Property Meld first and Latchel second and none of the other three vendors on this page. Reddit.com was the most consulted domain, ahead of appfolio.com and buildium.com. We expect prompts that name a smaller door count to surface the call-center and PMS-native options more often, and the October edition’s segment prompts are the first test of that.
