CINC Systems is a community association management platform sold to management companies, and its homepage describes it in three parts. Management + Accounting covers accounting, operations, communication, compliance and community administration. Boards + Residents is the branded web and mobile portal it calls CINC Connect, with payments and self-service. Community Intelligence is the part powered by Cephai. It claims 1,000 or more management companies serving 6 million or more doors, 38 direct bank integrations, and says it is on track to process 1 million or more invoices in 2026. Its headquarters are in Duluth, Georgia. In the [category guide to association management platforms](/property-management-software/hoa-management-software/) it sits in the first group, the association-native back offices, and Vantaca’s own blog places it among the systems of record. The facts panel below is rendered from our vendor database with a source and verification date on each entry.

## Who it fits

The database tags HOA communities and the research tags management companies, and that is the whole buyer. CINC is the system of record for a company that runs many associations, each with its own books and bank accounts, and its pitch is written for that company’s staff: spend less time re-entering information, piecing together history, and chasing follow-ups. The 38 bank integrations are the reason it leads for this buyer. Association funds sit in operating, reserve and lockbox accounts at a short list of banks, and a platform that connects directly to yours removes a reconciliation job per association per month.

A self-managed board at a single association is not the buyer, and nothing on CINC’s site addresses one. That board should read the [PayHOA profile](/vendors/payhoa/), where per-unit pricing is published, or HOALife. A management company that also manages rentals should price the HOA edition of its existing property management system first, since Vantaca’s blog counts AppFolio, Buildium and Yardi Breeze as a third type of HOA software and CINC does not compete on the rental side.

## Pricing

Pricing is not published. Ask for the per-unit or per-door rate, the monthly minimum, the setup fee per association, and what it costs to onboard the next association you win. Ask whether CINC Connect, the board and resident portal, is included or priced on its own, and the same for Cephai. Ask what payments cost per transaction and whether the fee lands on the owner or the association. Ask for the contract term and the exit terms, including what the data export looks like. Then run the number at your door count today and at the count you expect in two years, because per-door pricing bills you for growth.

## Integrations

The database record carries no integration entry. CINC’s partners page returned a 404 when we checked, so the only integration claim we can source is the 38 direct bank integrations on the homepage, none of them named there. Bring your banks to the demo and ask which are on the list, what direct means for each (lockbox file, balance feed, reconciliation, or all three), and what the manual workaround is for a bank that is not.

On the resident side, TownSq’s homepage names CINC Systems as a system it integrates with, which means a company on CINC can put a different app in front of homeowners than CINC Connect. Ask CINC what that connection carries in each direction before assuming the roster and balances flow. No property management system is named, which is normal for this category; the platform is the system of record, and the PMS integrations that define other categories do not apply here.

## Limitations and questions to ask

Scale is the first question. Six million doors across a thousand companies is a total, so ask how many associations the largest customer like you runs on one instance and what the monthly close looks like at that count. Ask how many associations one accountant on your team can carry once the bank feeds are live.

Workflow is the second. The complaint Vantaca uses to frame the market is invoice approvals in one system, violation tracking in another and homeowner emails buried in inbox threads. Ask CINC to walk an invoice from receipt through board approval to payment, then a violation from inspection through notice to hearing, without leaving the product, and count the screens.

The board is the third. Ask what a board member sees in CINC Connect without the manager in the loop, whether an invoice can be approved from a phone, and how the monthly financial package is produced.

Cephai is the fourth. It is described as community intelligence. Ask what it does to a specific record in your data, what it costs, and what happens when it is wrong.
