Smartwebs is HOA management software for community management companies and self-managed associations, based in Round Rock, Texas, and founded in 2005. It sells two plans. CORE is the management tier: violations, architectural reviews, work orders, communications, resident and board portals, and online payments. MAX is management plus accounting, adding budgets, receivables and payables, collections, vendor management and bank integrations. The homepage counts 500 community management companies, 175 self-managed associations and 11,000 communities. In the [guide to HOA management platforms](/property-management-software/hoa-management-software/) it is a vendor that lets a company buy the operations side without the ledger, and the facts panel below is rendered from our vendor database with a source and verification date on each entry.

## Who it fits

The database tags HOA communities. The split between CORE and MAX is what decides fit. A management company that already runs association accounting somewhere it trusts, and wants better field and board tools on top, can buy CORE and leave the books alone. A company ready to move everything can buy MAX and run one system.

The field work is where the product leans. Violations and architectural reviews lead the CORE feature list, and the about page adds inspections and mobile tools. Those are the jobs a community manager does from a car with a phone. A company whose managers spend their days driving neighborhoods is the core buyer.

A self-managed board can buy it too, and 175 do. A small board should still compare the quote against flat-fee tools built for boards, since Smartwebs says minimums apply.

## Pricing

Pricing is not published. The pricing page lists both plans with a Get a Quote button and the same line under each: minimums and implementation fees apply. What every plan includes is stated: unlimited users, unlimited cloud storage, and unlimited activity and transactions.

Unlimited users matters more than it sounds. Board members, committee volunteers and part-time staff all need logins, and per-seat pricing punishes that. So the questions are about the rest. Ask what the minimum is, monthly and annual. Ask how the price scales: per door, per association, or by tier. Ask the implementation fee for CORE alone and for MAX, and what data migration it covers. Ask whether moving from CORE to MAX later costs a second implementation fee. Ask what online payments cost the homeowner and the association.

## Integrations

The record names no PMS, which is normal for association software; Smartwebs or your accounting system is the record. The integrations that matter are banks, and MAX lists bank integrations without naming the banks on the homepage. Ask which banks it connects to, whether that means lockbox files, automated reconciliation or both, and what a CORE customer does to get payments into an outside ledger.

In September 2026 Smartwebs announced a partnership with SmartProperty, a reserve study company, to connect day-to-day operations and accounting with long-term reserve planning. Ask whether that is a live data connection today or a roadmap item, and what it costs. Smartwebs also names SAMi, its own AI for community management. Ask what SAMi does in the product now.

## Limitations and questions to ask

Ask what a CORE-only customer loses. If the accounting lives elsewhere, ask how a violation fine or an architectural fee posts to the owner’s ledger, and who reconciles it.

Ask about the field app. Can a manager log a violation with a photo and location offline, and how fast does the notice go out?

Ask about the board. What can a board member approve from the portal, and what does the audit trail show on a disputed fine?

Ask about support and onboarding. A company switching dozens of associations needs a named contact and a migration plan with dates. Ask for one in writing, and for a reference at your size.

## Alternatives

The [HOA vendors list](/property-management-software/hoa-management-software/vendors/) compares every vendor in the category with the same facts. [Enumerate](/vendors/enumerate/), the former TOPS Software, is the accounting-first option with a published $500 monthly minimum. [Vantaca](/vendors/vantaca/) and [CINC Systems](/vendors/cinc-systems/) are the platforms management companies most often weigh against each other. Every other vendor appears on [the page comparing Vantaca’s competitors](/property-management-software/hoa-management-software/vantaca-alternatives/).
