Vantaca is community association management software built around workflow automation, sold to management companies, and its homepage sets out the pieces. An Action Item framework drives the work. Around it sit Payments, the Vantaca Home resident and board portal, Vantaca Vendor, HOAi, which it calls agentic AI, and a managed Accounting Services line. Violation tracking and architectural review run as workflows inside it. It claims 50,000 or more associations and 6.5 million or more homeowners, and it is headquartered in Wilmington, North Carolina. Vantaca’s own blog sorts the market into three types, systems of record, systems of action and mixed-use platforms, and places itself alone in the second. The facts panel below is rendered from our vendor database with a source and verification date on each entry.

## Who it fits

The database tags HOA communities; the research tags management companies. The pitch is aimed at the company whose back office is the bottleneck: your back office runs itself, your team delivers the experience, and from weeks to minutes. The blog post that frames the market is more specific about the pain. Invoice approvals live in one system, violation tracking in another, homeowner emails sit buried in inbox threads, and teams compensate with email threads, Slack messages, spreadsheets and ticketing systems. Nothing technically breaks, in its words, but everything slows down. A management company that recognizes that description, and that has outgrown a system of record it treats as a ledger with a portal attached, is the buyer.

A self-managed board is not, and nothing on the site addresses one. The blog’s third type, mixed-use platforms that run rentals and associations together, covers AppFolio, Buildium and Yardi Breeze, and a company that manages both should price the HOA edition it already pays for before it prices Vantaca.

## Pricing

Pricing is not published. Ask for the per-unit rate, the monthly minimum, the setup fee per association and the contract term. Ask which of the pieces are included and which are sold on their own: Vantaca Home, Vantaca Vendor, Payments, HOAi and the managed Accounting Services line. Ask what a payment costs per transaction and who pays it. If you would use Accounting Services, ask how it is priced, per association or per transaction, and what stays with your staff. Then compute the annual figure at your current association count and at the count you expect in two years.

## Integrations

The database record carries no integration entry. The homepage refers to Partner Integrations without naming any, and the integrations page returned a 404 when we checked. So every integration is a demo question. Start with banks, since that is the connection that decides the purchase for a management company in this category, and ask which of your banks connect directly and what direct covers. Then ask about the resident layer, since Vantaca Home is Vantaca’s own portal and a company that already runs TownSq or another homeowner app needs to know whether it can keep it. Then ask about Vantaca Vendor and how a vendor invoice enters the Action Item flow.

No property management system is named, which is the norm for this category. The platform is the system of record, so the PMS integration that defines a maintenance or leasing tool has no equivalent here.

## Limitations and questions to ask

Workflow claims are testable, so test them. Ask Vantaca to walk an invoice from receipt through board approval to payment, a violation from inspection through notice to hearing, and an architectural request from submission to board vote, each as an Action Item, and count the hand-offs that leave the product.

Then the books. A system that sells itself on workflow still has to close 200 sets of books a month. Ask how bank reconciliation runs per association, how the monthly financial package is produced, and how many associations one accountant carries on Vantaca at a customer like you.

Then the board. Ask what a board member can do in Vantaca Home from a phone without a manager: approve an invoice, cast a vote, read the financials.

Then HOAi. Ask what it does to a specific record in your data, whether it acts or only suggests, what it costs and what happens when it is wrong.

Then the exit. Ask for the data export format and what leaving costs.
