AI Visibility for Property Management Software Companies

Be the answer when property managers ask AI who to use. Shortlist is WebPossible’s property-ops practice. WebPossible publishes the AI Shortlist Index, which records who gets named when a property manager asks ChatGPT, Perplexity, Gemini, and Google AI which software to buy. Shortlist sells the work to the vendors who are missing from that answer.

Who this is for

Property-operations software vendors with 15 to 80 people, a marketing lead, and usually an ads agency. You sell to multifamily, single-family rental, or facilities operators. Your buyer is an operations lead, a regional manager, or the owner of a PM company, and that buyer now asks an assistant for a shortlist before opening a browser tab. The segment-by-segment page covers resident benefits platforms, multifamily access control, and maintenance and vendor network software in detail.

Shortlist is not for core property management systems (Yardi, RealPage, Entrata, AppFolio, Buildium), consumer apps whose buyer is a renter or a homeowner, founder-only companies with nobody to own marketing, demand-gen teams of 200 or more, or agencies reselling the work.

Three products

Everything starts with a row in the Index. Each product has a flat price and a written scope.

Product Price Term What you get
Shortlist Audit $3,500 7 days Your row explained: the cause behind it and a 90-day fix
Shortlist Sprint $10–12k 90 days Entry into 5 of the top-10 cited sources in your category, plus owned pages and entity cleanup
Shortlist Retainer $5–8k/mo Monthly The position defended, pages refreshed, one data asset a quarter, a movement report every month

Three products: the Audit at $3,500 over 7 days, the Sprint at $10–12k over 90 days, and the Retainer at $5–8k a month.

The Audit runs all 25 prompts for your category across four engines, reads the Source Map, crawls your own pages, and tells you why your row looks the way it does. If we can’t name the cause, you don’t pay for implementation.

The Sprint does the work the Audit scoped. Its deliverable is measured against the Source Map: which of the top-10 cited sources you entered, which comparison and alternatives pages went live, and what your entity looks like on G2, Capterra, LinkedIn, Crunchbase, and the PM directories afterward. Third-party placements are attempted, not guaranteed, and the report says which ones landed.

The Retainer keeps you there. Category exclusivity is an option at the top of the band, one vendor per category.

How it connects to the Index

The Index is the measurement and Shortlist is the work. In the September 2026 edition, one ChatGPT run of the prompt “What’s the best maintenance coordination software for a property management company with around 300 doors?” named Property Meld first and Latchel second, and cited reddit.com more than any other domain. The five other vendors tracked in that category each have a row that says they were not named. The current maintenance ranking below is live from the Index. It changes when the edition changes, and it is the same table a buyer or a competitor sees.

An engagement runs on Index data from start to finish. The Audit reads your row and the Source Map. The Sprint targets the sources on that map. The Retainer’s monthly report is generated from the next edition. Movement in the Index is the only result we report, which is why the case studies page currently says there are none.

The firewall

Paying WebPossible never affects Index placement. The Index measures what AI engines say. Shortlist clients buy the work that earns a position, not the position.

In practice: measurement is never edited on request, clients are disclosed on their rows, and we take one vendor per category per engagement so we are never working for two companies competing for the same answer. The publication policy is the reply to every dispute, including a client’s.

Next step

Request an Audit with the form below, or book a 20-minute call if you would rather talk first. Bring your category, your PMS integrations, and whether you have an agency. Those three things decide most of the plan.

Questions

Do I have to be in the Index to buy an Audit?

The Index covers three categories at launch: resident benefits platforms, multifamily access control, and maintenance and vendor network software. If your category is not one of them, say so on the form. We will tell you whether we can run the prompts for it before you pay anything.

Can I skip the Audit and start with a Sprint?

No. The Sprint deliverable is defined against your row and the Source Map as of a named edition, and the Audit is where that baseline gets written. It also tells you whether a Sprint is worth the money. Some Audits end with a recommendation not to buy one.

Do you promise a ranking?

No. We do not promise rankings, traffic, leads, or revenue. We promise that the Audit names the cause and that the Sprint delivers the work it lists. The Index reports what happened next, whether or not it went our way.

Does hiring Shortlist change our Index row?

Only through the work. Measurement is never edited, clients are disclosed as clients on their rows, and corrections and re-checks follow the publication policy, which applies to clients and non-clients alike.
