AI Visibility Monitoring for Property-Ops Software Vendors

The Shortlist Retainer is $5–8k a month. It keeps a vendor on the shortlist after a Sprint puts them there: the position defended, decaying pages refreshed, the source set held, one original data asset a quarter, and a movement report every month generated from the Index.

Why a position decays

Answers are rebuilt every time a prompt is asked. The sources they draw on change: a listicle gets rewritten, a review platform reorders a category, a competitor ships an integrations page, a forum thread with better answers overtakes the old one. The models change too; the Index records the exact model identifier for every run because the identifier changes between editions. A vendor that did the work once and stopped is competing against vendors that are still doing it. The Index shows that as movement, and the case studies page explains why movement is the only result we report.

What the Retainer does each month

Defend the position. We read your row and every competitor’s row in the new edition, prompt by prompt, and act on what moved. If a source you entered during the Sprint drops out of the top 10, we find the one that replaced it. If a competitor appears beside you in a segment prompt where you used to be alone, you hear about it in that month’s report, with the source it rode in on.

Refresh decaying pages. The vs, alternatives, and for-segment pages carry facts that go stale: pricing model, PMS integrations, portfolio fit, product names. Each page gets its facts re-verified against your current product on a schedule, and its structured data updated. A page that says you integrate with Buildium when you no longer do is worse than no page.

Keep winning the source set. New listings, new directory entries, new editor pitches as the Source Map turns over. The same placements-attempted rule applies as in the Sprint: we attempt, we report, we do not guarantee a third party’s decision.

One original data asset per quarter. Something only you can publish from your own product data, anonymized and aggregated: work-order cycle times by portfolio size, credential turnover at move-out, resident package uptake by PMS. Trade publications and forum threads quote numbers they cannot get anywhere else, and a vendor with such a number becomes a source in its own category. We design the asset, you pull the data, we write and place it.

A monthly movement report. Generated from the Index files the day the edition publishes, then annotated. It shows your row, the rows beside you, and what changed, with the prompt-level detail that the public row leaves out. Nothing in it is edited to look better than the public row; the public row is the same data.

Price and terms

$5k a month covers one category and its core segments. $8k, the top of the band, adds categories or segments, more page refresh, and the option of category exclusivity, which means we work for no other vendor in your Index category while the Retainer runs. Billed monthly in advance, net-15, thirty days’ notice to end. The agreement lists the quarterly data asset and, if exclusivity applies, the exact subcategory list it covers.

Where it sits

The order is Audit, Sprint, Retainer. The Shortlist Audit writes the baseline, the Sprint does the work, and the Retainer holds the result. The practice hub shows all three with prices and the firewall that governs them. To ask which one you need, book a 20-minute call or use the Audit form below.

Questions

Can I buy the Retainer without a Sprint?

Usually not. The Retainer defends a position; if the current edition shows you unnamed across the prompts that matter, there is nothing to defend yet and the Sprint is the right product. A vendor already named consistently can start on the Retainer after an Audit.

What is in the monthly movement report?

Your row and your competitors' rows from the new edition: mention rate per engine, shortlist rank, position score, consistency across runs, engine spread, source dependency, and movement against the prior edition, plus prompt-level detail that the public row does not show. It is generated from the Index files, then annotated by a person.

What is the difference between $5k and $8k?

The number of categories and segments covered, the amount of page refresh work, and whether the exclusivity option is included. Exclusivity sits at the top of the band.

How do I cancel?

Thirty days' notice, in writing. Billing is monthly in advance, net-15. Late payment pauses work rather than cancelling the agreement.
