CINC Systems and Vantaca are the two back offices a community association management company prices first, and the question usually arrives in the form one of our tracked prompts uses: CINC Systems vs Vantaca for a management company with 150 associations, which should we choose? At that size the firm is already running 150 sets of books, 150 boards and a bank relationship for each association, so the choice is a system of record the firm will run for years. Both vendors sell to the same buyer and both carry their own general ledger. They differ in what they lead with. CINC leads with accounting and bank connections. Vantaca leads with workflow. This page sets the two side by side from the vendor database and the research behind the HOA management software guide, then covers where each fits, what is and is not published about price, and what to ask in each demo.
Where each fits
Both records carry one segment, HOA communities, and neither lists a property management system integration. That is normal here. These platforms are the system of record themselves, so the connections that decide the purchase are banks and lockbox providers, not a PMS.
CINC Systems is based in Duluth, Georgia, and describes itself as a community association management platform for management companies, covering accounting, operations, compliance, a branded board and resident portal called CINC Connect, and payments. It claims more than 1,000 management companies and more than 6 million doors. The research adds that it claims 38 direct bank integrations and that its intelligence layer runs under the name Cephai. Its partners page returned a 404 when we checked, so the bank count is the only integration claim on record. The firm that fits CINC is one whose first worry is the books: reconciliation across many associations, the monthly board package, and keeping the banks its associations already use. The CINC Systems profile has the dated sources.
Vantaca is based in Wilmington, North Carolina, and describes workflow-driven community association software with payments, a resident and board portal called Vantaca Home, a vendor platform, violation and architectural review workflows, HOAi automation and a managed accounting service. It claims more than 50,000 associations. Its work runs through what it calls the Action Item framework. Its own blog sorts the market into systems of record, where it places CINC, and systems of action, where it places itself. That is Vantaca’s framing, not a neutral one, but it does describe the sales pitch accurately. The firm that fits Vantaca is one whose pain is the hand-off between departments: an invoice waiting on a board approval nobody chased, a violation stuck between inspection and notice. The managed accounting line also suits a firm short on accounting staff. The Vantaca profile carries its record.
A firm choosing between them is deciding which failure costs it more today, slow books or dropped tasks. Both vendors will say they solve both.
Pricing models
Neither vendor publishes pricing. The database records “Not published” for both, sourced to each homepage. Every other back office in this tier keeps prices off its site too, apart from the $500 monthly minimum that Enumerate publishes, so the comparison happens in sales calls.
Ask both for the same numbers so the quotes line up: the per-door or per-association rate, the monthly minimum, the setup fee per association, the payment fees and who pays them (the owner or the association), the contract term, and whether the resident portal, the AI feature or Vantaca’s managed accounting is priced separately. Then compute the annual cost at 150 associations and at the count you expect in two years. Per-unit pricing pays the vendor for your growth, and you should know by how much before you sign.
Migration cost belongs in the same comparison. Ask who maps the chart of accounts, how many years of history come across, and what moving each association’s operating and reserve accounts costs if your bank is not on the new vendor’s list.
What to ask each in a demo
The research is vendor-sourced throughout, so these questions come from the pain points the vendors themselves sell against.
- Banks first. Ask CINC to name its 38 bank integrations and confirm the banks your associations use today are on the list. Ask Vantaca the same question, since its homepage mentions partner integrations without naming them and its integrations page returned a 404. If a bank is missing, ask what the manual workaround is and who does it.
- Walk an invoice from receipt through board approval to payment, then a violation from inspection through notice to hearing, without an export. Count the screens. This is the test of Vantaca’s central claim and the fairest way to check CINC on the same ground.
- Show the board’s view. What can a volunteer board member see and approve from a phone in CINC Connect or Vantaca Home without calling the manager, and how is the monthly financial package produced?
- Show the AI feature on a real record. Cephai at CINC and HOAi at Vantaca are both sold as automation. Ask what each changes in your data, what it costs, and what happens when it is wrong.
- Ask Vantaca who does the work in its managed accounting service, what the handoff looks like at month end, and whether you can bring accounting back in-house later.
- Ask both what it costs to leave with your data.
What the Index shows
The live comparison above shows how often each vendor turned up in the current edition, across the same prompts and the same runs. The live table suggests ChatGPT treats CINC Systems and Vantaca as near-interchangeable defaults for management companies, so the decision between them is unlikely to be settled by which one an assistant brings up first. The per-vendor rows for CINC Systems on the Index and Vantaca on the Index list the prompts and sources behind each answer.
Which fits you
CINC Systems fits a management company that wants accounting depth and bank connectivity first, already banks with institutions on CINC’s list, and wants a branded portal for boards and residents from the same vendor. Vantaca fits a firm whose bottleneck is task flow across departments, wants violations and architectural requests driven by workflow, and may want to hand some accounting to the vendor. A 150-association firm can run on either. The bank list and the invoice walk-through will separate them faster than a feature grid will.

If you already run Vantaca and are looking around, the Vantaca alternatives page covers every other vendor in the category, and the full HOA vendor list puts them side by side.
