ApproveShield is full-service resident screening for multifamily communities. Its product, ApproveShield Premier Screening, combines real-time eviction filing data, ID fraud detection, an Equifax credit report, criminal background checks it says are fully verified, income and employment verification, and rental history verification. What separates it from a database report is the labor: the company sells primary source verification with a person in the loop, meaning its staff confirm the applicant’s information rather than passing along whatever a database returns. It was founded in 2016 in the Dallas area and lists more than 130 staff. In the tenant screening category it is one of the clearest examples of screening sold as a service, and the facts panel below is rendered from our vendor database with a source and verification date on each entry.

Who it fits

The record tags institutional multifamily. The site says ApproveShield is trusted by 15 of the NMHC Top 50 management companies, and its founding story is about properties where incomplete screening drives evictions. The buyer is a regional or asset manager at a multifamily operator whose bad debt and skip rate are the problem, and who would rather pay for a slower, verified answer than for a fast score. The ROI page pitches it as a replacement for the stack of separate tools a leasing office often layers together: the screening built into the CRM, plus add-ons for ID verification, document analysis and fraud prevention.

It does not fit a single-family manager or a small landlord. Everything on the site is written for multifamily communities, and there is no self-serve, per-report option.

Pricing

Pricing is not published. The applicant FAQ says ApproveShield does not charge applicants and that the application fee is collected by the community, so the cost sits with the property. Ask how the fee is structured: per application, per unit per month, or per community. Ask whether all seven components are included or priced as options. Ask whether a re-screen after a co-applicant is added costs the same as the first. And ask how the price compares with the screening and add-ons you pay for now, since the pitch is that ApproveShield replaces them.

Integrations

The record lists Yardi and Entrata, from the company’s about page, which also names Bluenotch. Ask what the integration does in each: whether the application flows to ApproveShield automatically, whether the decision writes back to the applicant record, and whether leasing agents work in the PMS or in an ApproveShield portal. The Yardi integration page and the Entrata integration page list the other vendors that connect to each platform. If you run RealPage or ResMan, ask before the demo, because neither is named.

Limitations and questions to ask

Human verification takes time. The applicant FAQ quotes three to five business days, though it says most screenings finish sooner when the applicant responds quickly. Ask for the median time from submitted application to decision at communities like yours, and what happens to a unit held for an applicant in the meantime. Ask what the applicant is asked to do in the portal, since the FAQ makes their speed part of the turnaround.

On eviction filings, ask how a filing that was dismissed or settled is shown, and how quickly a dismissal reaches the report. On criminal records, ask how the most recent disposition is confirmed and who sets the lookback rules per community; the site says the criteria are configurable by community. On compliance, the site claims FCRA and Fair Housing adherence, SOC 2 certification and membership in the Public Background Screening Association. Ask who issues adverse-action notices and how a disputed record is handled. Ask for the contract term and exit terms in writing.
