EasyHOA is software for self-managed homeowner associations, built by a company in Washington, Utah. It bills dues and sets owners up on autopay, imports the association’s bank transactions to produce a profit and loss and a balance sheet in real time, sends texts, emails and calls to owners, and collects architectural, maintenance and general requests in one place. Every plan includes a website, an integrated phone system, the accounting module, violation tracking and voting. The company also sells tax return filing and a bookkeeping service. In the HOA management software guide it is one of the vendors written for the volunteer board rather than the management company, and the facts panel below is rendered from our vendor database with a source and verification date on each entry.

Who it fits

The database tags HOA communities, and the site narrows that to one buyer: the self-managed association. Its homepage calls it affordable software for self-managed HOAs, and nothing on the site is pitched at a management company. The board that fits is small and run by volunteers, typically a treasurer who is tired of spreadsheets and a president who wants owners to stop emailing personal accounts. The pricing bands stop publishing at 150 units, which tells you where the product is aimed.

It does not fit a management company running many associations. The site describes no view across many associations and no pricing for a firm, and the bands are priced per community. A company should read the platforms built for that job instead.

Pricing

EasyHOA publishes its pricing, flat by community size: $49 a month for 1 to 25 units, $69 for 26 to 50, $89 for 51 to 100, and $99 for 101 to 150. Above 150 units it is a custom price. The site says one price, full access and unlimited support, with no hidden fees, add-ons or extra charges.

At those numbers the software is a rounding error next to a management company’s fee, and that is the pitch. The questions are about what sits outside the subscription. Ask what owners pay to pay dues by card or ACH, and whether the association can absorb or pass on that fee. Ask what the tax filing and bookkeeping services cost, since a board that buys them is buying back part of what a manager did. Ask whether billing is monthly or annual and whether there is a contract term. Ask what the custom price looks like at 200 units.

Integrations

The record names no PMS, which is right for a self-managed board; EasyHOA is the system of record. Its integration story is the bank import. Ask which banks it imports from, whether that is a live feed or a file you upload, and how often it refreshes. Ask how the chart of accounts is set up and whether a reserve account can be tracked separately from operating. Ask whether an outside CPA can export what they need at year end, or whether the tax filing service assumes they will not.

Limitations and questions to ask

Accounting depth is the first question for any board that takes its books seriously. Ask how a reserve study’s contribution schedule is tracked, how a special assessment is billed, and whether the statements meet what your governing documents require the board to send owners.

Enforcement second. Ask whether violation notices are templated and editable, whether fines post to the owner ledger automatically, and what the record shows if an owner disputes one.

Voting third. Ask whether electronic voting is allowed under your state’s rules and your bylaws, and what the system records as proof of a vote. That is a legal question for the board, but the vendor should know what other associations in your state do.

Support last. The site promises support by phone, email and a support site. Ask about response times, and who you talk to when the treasurer changes and nobody remembers the password.

Alternatives

The list of HOA platforms we track compares each vendor with the same facts. The closest match is PayHOA, also aimed at self-managed boards, also starting at $49 a month, with per-unit pricing above 500 units. HOALife keeps the books in QuickBooks Online, which suits a board whose treasurer already knows it. HOA Central adds managed accounting for boards that want help. The broader field is on the Vantaca alternatives roundup.
