BetterBot is an AI agent for leasing inquiries that books tours against real calendars, follows up across chat, SMS, email and phone through the fourth contact or beyond, and hands prospects to staff through a shared dashboard where each handoff has one owner. Its site also describes renewal and maintenance conversations. Among the vendors in the category guide to AI leasing assistants, BetterBot is the standalone agent that has thought hardest, on the evidence of its own pages, about the moment a human takes over.
Who it fits
The database tags institutional multifamily, student housing and affordable housing, the widest segment list in the category. BetterBot’s site says eight of the top ten NMHC managers use it and lists conventional, student, senior, affordable and lease-up communities as the property types it serves. Its homepage states the buyer’s problem plainly: nobody answers the phones after six, and prospects go quiet after the first follow-up.
The fit is an operator that keeps its CRM and PMS and wants the agent on top, with a leasing team that will use the dashboard. It fits a student or affordable operator better than most of the category because those segments appear in BetterBot’s own list and not in the others’. It is also one of the two vendors here that list AppFolio, so an AppFolio manager has a short list before the first demo. An operator replacing its CRM should look at the CRM-native vendors instead.
Pricing
Pricing is not published. Ask for the per-unit rate, the monthly minimum, whether phone handling is priced separately from chat, SMS and email, whether renewal and maintenance conversations are a separate line, and the contract term. Price it at your unit count and at the count after next year’s acquisitions.
Integrations
The database lists Entrata, Yardi, AppFolio, Rent Manager and RealPage, sourced from BetterBot’s CRM feature page, which describes the Entrata and Yardi connections as its deepest and names RealPage OneSite. BetterBot’s dedicated integrations page returned a 403 when we fetched it, so the list may be longer than the five we could source. Ask for the current one in writing. Five of the ten systems we track is the joint widest list in the category with Respage, and Rent Manager reaches operators that only EliseAI otherwise lists. The Yardi integrations page and the AppFolio integrations page show the other vendors on each system.
Funnel lists BetterBot on its own integrations page, so BetterBot can sit on top of Funnel’s CRM. Ask both vendors which assistant answers first in that configuration and who owns the prospect record.
Limitations and questions to ask
Start with the handoff, since it is BetterBot’s argument. Its CRM page describes a shared dashboard where handoff claims are exclusive, one owner at a time, and where the AI can be paused per person. Ask to watch a claim happen in the demo, what a second leasing agent sees when a thread is already claimed, whether the AI resumes when the owner goes quiet, and what the prospect sees when the voice changes.
Then follow-up. Through the fourth contact or beyond is the promise. Ask for the cadence in writing, what stops it, whether a prospect who books a tour then no-shows gets worked again, and whether the cadence differs by channel.
Then calendars. Booking against real calendars means the leasing office’s calendar, and the question is which one. Ask whether it reads the PMS calendar, the CRM calendar or its own, what happens when they disagree, and how often it pulls availability and pricing.
Then fair housing. Bring an accessibility question, an assistance-animal request phrased as a pet rent question, and a source-of-income question. The category guide covers the April 2026 Multifamily Dive argument that a deflected accessibility question is the operator’s exposure. Ask what BetterBot escalates, to whom, how fast on a weekend, and what the contract says about indemnity. An affordable operator should ask the income question twice.
Then the record. Ask whether conversations write to the guest card in your CRM or live in the BetterBot dashboard, and what you keep if you leave.
Alternatives
The category vendor list compares all seven. The closest standalone alternative is EliseAI, which extends into resident, maintenance and delinquency conversations but names only Rent Manager and ResMan among the systems we track. For an AppFolio manager the other option is Respage, which bundles its assistant with a CRM and marketing services and is the only vendor here that describes a pricing model.
